At Architecture Film Festival Rotterdam (AFFR), we take your privacy seriously. We adhere to the rules of the General Data Protection Regulation (GDPR). This means we handle your personal data with the utmost care and confidentiality.

Why We Collect Your Data?

You can share your data with us in various ways (via our website, email, or phone). We do this for:

  • Logging into our customer portals.
  • Submitting a contact request.
  • Signing up for our newsletter.
  • Ordering tickets.

With this data, we can:

  • Process your payment.
  • Handle your order.
  • Contact you (by phone or email) if necessary for our service.
  • Inform you about our services and products (or changes to them).
  • Deliver tickets to you.
  • Answer your questions.
  • Send you our newsletter.

Important: We only use your data for the reasons you initially provided it. If you sign up for the newsletter, your data will enter our relationship database, meaning you might also receive other mail from us, such as event invitations.

What Data Do We Store?

We differentiate between two groups:

  • Visitors and Relations: Name, (email) address, phone number, newsletter preferences, and IP address.
  • Accredited Guests: Name, (email) address, phone number, date of birth, function, profession, nationality, travel details, accommodation details, biography, newsletter preferences, IP address, and organization.

We do not collect sensitive data such as information about your health, criminal record, or country of birth.

Automated Decisions? No.

AFFR does not make automated decisions that could have significant consequences for individuals. There is always a human (an AFFR employee) involved in such decisions.

Do We Share Your Data?

We only share your data with other parties if it’s strictly necessary to fulfill our agreements or if required by law. We enter into agreements with companies that process your data on our behalf to ensure the same level of security and confidentiality. AFFR remains responsible for these processing activities.

We will only share your personal data with other third parties with your explicit consent.

How Long Do We Store Your Data?

We do not store your personal data longer than strictly necessary to achieve the purposes for which it was collected:

  • Visitors and Relations: 3 years after the last contact.
  • Travel and Accommodation Data: 1 month after your stay.
  • Financial Data: 7 years after the last delivery (required by law for tax purposes).

Your Rights: Access and Modification

You can always request access to the data we have stored about you. You can also ask for this data to be adjusted or deleted. To do so, send an email to info@affr.nl.

Cookies on Our Website

Our website uses cookies (small text files) and JavaScripts to a limited extent. These help us measure how our site is used (with Google Analytics) and how it can be further improved. We also use cookies that are necessary for the website to function properly, for instance, for the customer login portal.

Social Media & Your Data

For social media campaigns, we sometimes use specific target audiences. These target audiences are created within the social media platform itself, or by uploading email addresses and matching them with users on the platform. This allows AFFR to specifically approach or exclude visitors within a social media campaign. If you prefer not to be included, please let us know! You can also manage your advertising preferences extensively through the settings of most social media platforms.

Photos and Videos

During AFFR, photographers and videographers will capture the festival. The images and videos created are used exclusively for AFFR’s communication and promotional purposes, such as on the website, in the annual report, newsletters, social media, and other publications. If you object to the use of images in which you are recognizable, please let us know via info@affr.nl. We will immediately remove such content.

Consent for Cookies

AFFR only uses cookies on its website if you have given your consent. You can also set your browser to not receive any cookies at all.

Our web pages may contain links to other websites in certain places. AFFR is not responsible for the privacy and cookie policies that apply to third-party websites.

Complaints?

If you have a complaint about how we have handled your data, we kindly ask you to first discuss it with us. If you are still dissatisfied, you can contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). They can then decide to initiate an investigation into AFFR.
